Job Description & Responsibilities

Persistent Systems LLC is seeking a highly organized, proactive, and detail-oriented Strategic Operations Coordinator to join our growing Rapid Capabilities and Strategic Initiatives team. Reporting directly to the HRCSI Department Head, you will be the operational backbone of the department, responsible for administrative detail and streamlining project workflows to ensure the successful execution of company-wide initiatives.   

 

Position Responsibilities

 

Operational & Administrative Support 

  • Manage complex calendars, prioritize meeting requests, and handle logistics for the Department Head 
  • Serve as the primary point of contact for internal and external stakeholders, ensuring timely follow-ups and professional communication
  • Manage vendor contracts, logistics, tactical and procurement processes
  • Organize and maintain departmental documentation, including project charters, status reports, and AI/resource libraries

Project Coordination 

  • Track project timelines, milestones, and deliverables across multiple concurrent initiatives. 
  • Prepare briefing materials, presentations, and reports for executive leadership. 
  • Utilize project management tools to provide real-time visibility into the department's progress. 

Process Optimization 

  • Identify bottlenecks in current departmental workflows and propose scalable solutions
  • Onboard new project tools or software as needed to improve team efficiency
  • Assist in the preparation of departmental KPIs and performance metrics

Strategy Team Support & Emerging Professional Development 

  • Provide meaningful exposure to Persistent Systems' defense technology strategy enterprise, supporting the Directors and Vice Presidents across the Rapid Capabilities and Strategic Initiatives team with administrative and analytical functions that are mission-critical to advancing the company's capture pipeline, go-to-market execution, and cross-functional campaign planning
  • Conduct research on defense acquisition trends, program office activity, and competitive landscape developments including tracking RFI/RFP releases across Army, Navy, Air Force, Marine Corps, and Coast Guard procurement portals and synthesize findings into concise executive-ready summaries to support Director-level capture and positioning decisions
  • Support the development and maintenance of strategy documents, go-to-market frameworks, and campaign plans including version control, formatting Persistent Systems brand standards, and distribution management
  • Ensure all strategy artifacts are current, properly classified or marked as Proprietary, and accessible to the appropriate internal stakeholders
  • Assist Directors in scheduling, preparing logistics packages for, and tracking action items from bilateral Technical Exchange Meetings, industry partner sessions, Systems Integration Laboratory (SIL) engagements, and government customer interactions
  • Maintain a master engagement calendar to prevent scheduling conflicts and ensure proper lead-time for preparation materials
  • Serve as the strategy team's liaison to internal departments including Engineering, Contracts, Finance, and Marketing to facilitate timely information exchange and ensure Directors maintain situational awareness across all active workstreams
  • Route action items, flag blockers, and track resolution to keep initiatives on course 
  • Actively engage in team briefings, strategy reviews, and market analysis sessions to build foundational knowledge of defense acquisition processes, JADC2 architecture, and Persistent Systems' Wave Relay ecosystem

This role is explicitly designed as an accelerated development pathway for a junior professional with demonstrated aptitude for strategic thinking and the defense technology sector.

Job Qualifications & Experience

Minimum Qualifications  

  • 3–5 years of experience in operations, project coordination, or high-level executive support, preferably in a fast-paced corporate environment. 
  • Proficiency in Microsoft Office Suite (advanced PowerPoint and Excel skills required).
  • Experience with project management software (e.g., Asana, Jira, or Smartsheet) and performance management platforms (e.g., Lattice)
  • Exceptional written and verbal communication skills; ability to interact confidently with senior leadership
  • A "no task too small" attitude combined with the ability to think three steps ahead
  • High emotional intelligence and discretion when handling sensitive information

Total compensation for this role can vary from $73,000 to $91,000 a year based on the selected individual's education and experience.
