Job Description & Responsibilities

The Associate Purchasing Administrator will be responsible for managing and processing purchase orders, maintaining procurement databases, and collaborating with internal teams to support production schedules. This role will ensure timely and accurate material assignments to prevent delays, resolve invoice discrepancies, and assist in developing procurement strategies.

 

Position Responsibilities

  • Manage and process purchase orders from requisition to delivery, ensuring accuracy, compliance, and timely fulfillment.
  • Collaborates/communicates interdepartmentally with the supply chain team to maintain production schedules for ongoing projects, assign materials to boost productivity and prevent delays that can affect delivery of customer(s) orders.

  • Maintain and update the procurement database, including vendor information, purchase order records, and contract details.
  • Handle invoice discrepancies, working closely with compliance and finance department to resolve billing issues and ensure proper payment.
  • Assess requisitions; obtain RFI's, RFQ's and, on occasion, RFP's.
  • Compile, record and report project performance and progress to management and key stakeholders.
  • Assist in the development and implementation of procurement strategies to support business growth.

 

 

 

 

 

Job Qualifications & Experience

Minimum Qualifications

  • Must have a United States security clearance or the ability to obtain a United States security clearance.
  • Proven 5 years experience in logistics operations, preferably in a fast-paced environment.
  • Excellent math and analytical abilities to perform data analysis/statistical methods and reporting.
  • Communication, interpersonal skills, and the ability to multi-task and collaborate cross-functionally with teams.
  • Proficient in MS office suite and inventory management tools and accounting application - ERP/MRP/SAP.

 

Preferred Qualifications

  • Associate or higher degree in Logistics, Supply Chain Operations.
  • Six Sigma trained
  • Certifications; APICS – CPIM/CSPC or equivalent.

 

 

The pay for this role can vary from $71,000 to $75,000 a year based on the selected individual's education and experience.
